Hiring the Best Audio-Video Company For Your Next Event

Holding your own offline seminar or event with various speakers is a great way to not only gain respect in your niche (if you put on a good event), but you’ll also be able to rub shoulders with the best of the best in your given niche. Just think, you’ll be able to make a ton of contacts! But best of all, you’ll potentially be able to make a lot of partnerships with those you meet at your event.

However, it’s extremely important to record your event so that you can use it as a marketing tool for further promotions afterwards. But although recording the event may sound like a simple task, you need to realize, you can’t just hire any audio/video team to record your live event. I’ve heard people give recounts of good, bad, and ugly experiences. If you want to avoid the bad and the ugly, I highly recommend that you get referrals for an audio/video team from promoters that have put on events inside the internet marketing space or in the direct response space. After all, you want to hold a successful event that people say only good things about. And yes, you can avoid disasters.

Now, we all know that if you’re going to coordinate an event you need some experience. You need to have strong planning and management skills to do a good job. But that aside, if you want to record your event, only hire a company that has been around direct response, direct marketing, or internet marketing to do it for you. There are many facets of recording such a diverse event with various speakers and it takes experience to do so. So, I don’t recommend you call a bunch of video recording teams locally, they’re not going to get it. You need to find people that understand this business.

And so what you may want to do is ask these questions before you commit to any one audio/video recording company… ask a promoter (who works in the internet marketing, direct mail industry):

Who would you recommend the best for recording your event, and who do you suggest for an audio/video team to record my next event? You will need to find someone who is familiar with the industry.

Another thing you need to do is monetize your recordings. Leverage your efforts by squeezing as much money out of the event as possible. But before you place the recordings up on your website, you need to get waivers from your speakers and attendees. However, I strongly suggest you also talk to an attorney and have him finalize your waiver prior to having it sent out.

Proper planning with the right people and the right knowledge can make your event a smooth process.

    Another thing to think about is how you can add on a virtual event to the live event since there are always people who'd love to attend, but can't for a variety of reasons. Don't leave them out!

    You are very correct about trying to find a good A/V company. I used to work in that industry for years. I know of two Very good companies that would be able to handle anything you or anyone else would need. They are based in Minneapolis, MN, but can also travel to various destinations and provide service just about anywhere. Yes, I did work for one of the companies, but they have been around since 1996 and truly know their stuff. The second is an offshoot of the first, started from former employees. Either one is awesome. The first is Graybow Communications Group: http://www.graybow.com and the second is Avex: http://www.goavex.com . Just thought I would offer a couple of really great suggestions for anyone needing this type of work, since it comes from someone who knows the inside of the A/V industry.     Cindy, if your goal is to put as many butts in the seats – won't doing a virtual side of the event “BE” the excuse why people decide. Not to come. I can hear it now. “Well, I'd go but I'll just watch it from home” Am I wrong?

    Event and meeting planners are noticing a decline in attendance at their non-virtual events. Some have hosted virtual events to supplement non-virtual ones. I've seen some of my colleagues, who have hosted virtual events for years, host a reunion seminar in a city with a huge turnout. Hosting a virtual event builds excitement and a need to host a non-virtual one, so I see the 2 going hand in hand. One doesn't take away from the other.
